How do I get a personal calendar?

Go to vivapop.com. Click on the Get Personal Calendar button. Please jot down your username and password. You will need them to activate your account.

How do I activate my account?

In your confirmation email, click on the link. This brings you to an account activation page. Type in your username and password, and click on the Activate Account button.

When I first log in, why don't I see my name in the Group Member box?

Names only appear in the Group Member box if they have an appointment or program scheduled for that calendar view. You must add an appointment or a program schedule for yourself for your name to appear in the Group Member Box.

How do I add members to my group?

Go to the Building Blocks icon. This icon has the letters POP on the blocks and is located at the top right hand side of the screen. This opens the Group Management Box. Fill in the required fields. You can use the same email address as yours for a minor. Then click the Add button at the bottom of the box.

How do I view just one group member's calendar?

Go to the Group Member box. Deselect the group members you do not wish to see by unchecking the boxes next to their name. Then click on the Apply Filter button.

How do I edit or delete members of my group?

Go to the Building Blocks icon. This icon has the letters POP on the blocks and is located at the top right hand side of the screen. This opens the Group Management Box. Choose the Group Member you would like to edit, then click on the Edit Button. This pre-populates the required fields. Change the information. Then click the Save button at the bottom of the box. To delete a Group Member, choose the Group Member you would like to delete, then click on the Delete Button.

How do I search for an organization?

Go to to the Search icon. This icon is a Magnifying Glass located at the top right hand side of the screen. Click the Search icon. This opens the Search Box. Click the Locate Programs button after you make your radio button selection from the following options: View All Programs, Radius of My Zip Code or Radius of Zip Code. If no radius was selected, this generates a list of all the program providers in the vivapop system. If a radius was selected, this generates a list of only those program providers that have programs within a certain radius of your zip code. Look for the category of interest: Acting, Museums, Schools, then look for the program provider's name in that category.

How do I find programs?

Click the plus button next to the program provider name. This generates a drop down list of programs for that program provider.

How do I find schedules?

Click on the name of the program you are interested in. This generates a list of schedules for that particular program.

How do I add a schedule to the calendar?

Click on the name of the group member who will be taking this program schedule. You can select multiple group members by holding down the Ctrl (PC) or Apple (Mac) key and clicking on the group member names. You have two options. You can load the entire program schedule from start date to end date. Click the Entire radio button. Then scroll down and click the Add Schedule button at the bottom of the box.

Or you can select individual dates within a program schedule's start and end date. Click on the Individual Date radio button. This generates a list of all the dates between the start and end date. A strike out line indicates a Black Out date ie the date(s) when that program is scheduled to not run. Select the dates you would like. Then scroll down and click the Add Schedule button at the bottom of the box.

How do I add a private schedule for a school or private club to my calendar?

Got to the Search icon, which has a Magnifying Glass in it at the top right hand side of the screen, and click it. This opens the Search Box. Type in the Access Code provided by your private school or club in the field provided, then follow the instructions above.

How do I add a camp schedule or a multi-day schedule to my calendar?

Click on the name of the group member who will be taking this multi-day schedule. Select Monday, then Tuesday, then Wednesday, then Thursday, then Friday for a five day camp schedule. Then scroll down and click the Add Schedule button at the bottom of the box.

Why are some colored blocks grey?

A gray colored block indicates a Black Out date - the date(s) when that program is NOT scheduled to run e.g. July 4th - Independence Day.

When I click the Individual Date radio button, some dates have a strike out line. What does that mean?

A strike out line indicates a Black Out date - the date(s) when that program is scheduled not to run e.g. July 4th - Independence Day.

Where do I remove schedules from my calendar?

Go to the Group Member box at the top left hand side of the screen. To the right of text "Group Members", click on the text "Manage Programs". This opens the Program Listing Box. Select the program schedules that you would like to remove, and click on the Remove button. Note: you cannot remove a program if it is not in your calendar view ie you are looking at July and the program starts in September, check the start date of that program schedule, then go to that month. Then click the Pages icon to open up the Program Management box.

How do I add an Appointment?

Go to the Appointment box at the left hand side of the screen. To the right of text "Group Members", there is a Plus icon. Click on that icon. This opens the Appointment dialogue box. To make an All Day Appointment, click Save after filling in Event field. To add more details, click the Add Details button, fill in the fields and click the Save button at the bottow of the box. If you ordered call-in service, select vivapop on your speedial (1-866-364-9130), then enter your unique access code. Speak or touch tone your appointment details by following the menu prompts. The appointment will save to your calendar at the time and on the date specified. On your calendar, click the appointment block. Click on the speaker icon to play back the recorded details.

How do I remove an Appointment?

Go to the Appointment Block on the calendar. Click the Appointment Block to open. Click the Remove button at the bottom of the box.

How do I distinguish between Appointment and Program Schedule Blocks?

Appointment Blocks have a black border. Program Schedule Blocks have a dark grey border.

How do I look at a specific event on my calendar?

Click the Colored Block in the date box. This opens the details for that activity.

How do I view today's activities on my calendar?

In the date box, click the Plus button at the top left hand side of the box. This generates a list of that day's activities. If you ordered call-in service, select vivapop on your speedial (1-866-364-9130), then enter your unique access code. Follow the menu prompts to review today's upcoming appointments.

How do I view the whole month's activities on my 31 day calendar view?

To the right of the Thirty-One (31) Day Calendar icon at the top right hand side of the calendar, click the Calendar icon. This generates a list of that month's activities.

How do I view a seven (7), five (5) or one (1) day view of my calendar?

To the left of the Thirty-One (31) Day Calendar icon at the top right hand side of the calendar are the Seven (7), Five (5) and One (1) Day Calendar icons. Click on to see the view you would like.

How do I print my calendar view?

To the right of the Thirty-One (31) Day Calendar icon at the top right hand side of the calendar is the Print icon. Click the Print icon to see printable version of the calendar view. Then click File Print from your computer's menu bar.

How do I export a calendar view?

To the right of the Thirty-One (31) Day Calendar icon at the top right hand side of the calendar is the Export icon. This generates a list of group member's calendars to export. Click the link and a vcs file is created on your computer's desktop. Open this file and your default calendar application will import this vcs file.

I am a business owner. How do I host my events on vivapop?

Once I am an active member, how do I blog and update my calendar?

Login using your username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. This opens blog and calendar administration.

How do I add a speaker to one of my events?

Login using your program provider username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. This opens Administration. Click on the Coach link at the top of the screen. This brings you to view/edit coaches page. Add Last name, First name then click the save button at the bottom of the box. (If there is no last name, put a dash in the last name field.)

How do I add a location?

Login using your username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. This opens Administration. Click on the Location link at the top of the screen. This brings you to view/edit locations page. Fill in required fields then click the save button at the bottom of the box.(If you have no information for a required field, put in a dash.)

How do I add a program?

Login using your username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. This opens Administration. Click on the Programs link at the top of the screen. This brings you Programs page. Fill the required fields and contact information if necessary. If it is a private program a password in the subscriber access field is required. When finished, click the save button at the bottom of the box.

How do I add a schedule's start and end date?

Login using your program provider username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. This opens Administration. Click on the Programs link at the top of the screen. This brings you to the program page. Click the schedules link on the far left side of the program. This opens the view/edit schedules page. Fill in required fields then click the save button at the bottom of the box.

How do I add the schedule details, including day and time?

Login using your username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. This opens Administration.Click on the Programs link at the top of the screen. This brings you to the Programs page. Click the schedules link on the far left side of the program. This opens the view/edit schedules page. Click the Details link on the right side of the schedule. This opens the view/edit schedule details page. Select the day of the week and times the program runs. You may also add other details if necessary. When finished, click save. If you want to edit details click the edit link on the right side of the day. If you want to remove a day and time click the remove link on the right side.

What does the "One of Entry" button do?

This feature shows the date not the period for a program. For example, if you add a schedule that runs from 9/5 to 10/5 on Tuesdays and you want to show each Tuesday as an individual date in the subscriber view (9/5, 9/12...) you would select "Yes" for One of Entry. If you want to only show the period (9/5-10/5) you would select "No" for One of Entry.

What does "Allow Individual Entry Selection" do?

This feature allows you to enable or disable the individual selection of dates in the subscriber view. If set to "No" the subscriber can only load the entire schedule. If set to "Yes" the subscriber can load the entire schedule or individual dates within the entire schedule.

What does resync do?

It generates the individual dates between the program schedule start and end dates.

How do I resync a schedule?

Login using your username and password. Click the Magnifying Glass icon at the top right hand side of the screen. Type in your administrative password and click Continue. Click on the Programs link at the top of the screen. Click the schedules link on the far left side of the program. This opens the view/edit schedules page. Click the Details link of the right side of the schedule. This opens the view/edit schedule details page. Click the Resync link on the left side of the day. This brings you to the view/edit schedule details (resync) page. Check that dates are correct then click the commit resync now button at the bottom of the page. You will be returned to the View/Edit schedule details page.

How do I add a black out date?

Login using your username and password. Click the Magnifying Glass Icon at the top right hand side of the screen. Type in your administrative password and click Continue. Click on the Programs link at the top of the screen. Click the schedules link on the far left side of the program. This opens the view/edit schedules page. Click the Details link of the right side of the schedule. This opens the view/edit schedule details page. Click the entries link on the right side of the date. This brings you to the view/edit schedule details entries. Check off the dates you want blacked out, select yes from the blackout date drop down menu then type in the reason. When finished click apply to selected entries button.

How do I change other schedule entries like location and coach for a specific date?

Login using your username and password. Click the Magnifying Glass Icon at the top right hand side of the screen. Type in your administrative password and click Continue. Click on the Programs link at the top of the screen. Click the schedules link on the far left side of the program. This opens the view/edit schedules page. Click the Details link of the right side of the schedule. This opens the view/edit schedule details page. Click the entries link on the right side of the date. This brings you to the view/edit schedule details entries. Select the dates you want to edit then change location, change the date, or change the coach. When finished click apply to selected entries button.

How to remove individual days from schedule?

Login using your username and password. Click the Magnifying Glass Icon at the top right hand side of the screen. Type in your administrative password and click Continue. Click on the Programs link at the top of the screen. Click the schedules link on the far left side of the program. This opens the view/edit schedules page. Click the Details link of the right side of the schedule. This opens the view/edit schedule details page. Click the entries link on the right side of the day and time. This brings you to the view/edit schedule details entries. Check off the dates you want removed then click the remove selected entries button.

How do I confirm schedule was added correctly?

Click the view calendar link on the top left of the screen to return to calendar view.

What does the Apply Filter button in the Programs Box do?

This allows you to select and filter only the programs you want to see on the calendar.
